The workflow

The first 3 steps — enough to confirm this is the right approach for your situation.

  1. Invoice Capture Collect invoices from multiple sources such as email, vendor portals, EDI feeds, and paper scans into a centralized system.
  2. Data Extraction and Validation Use AI to extract invoice details (vendor, amounts, PO numbers) and validate them against purchase orders.
  3. Automated Payment Follow-up Set up automated reminders and payment execution integrated with ERP systems to ensure timely payments and reduce manual follow-up.
  1. Configure Approval Routing Set up automated workflows to route invoices to appropriate budget owners for approval based on predefined rules.
  2. Automate Payment Execution Once approved, automate payment release through integrated payment systems, including setting up autopay and late fee rules if applicable.
  3. Set Up Automated Payment Reminders Use FreshBooks or similar tools to send automated payment reminders to clients or vendors to reduce manual follow-up.
  4. Implement Fraud Detection and Security Controls Enable built-in fraud detection features in payment automation tools to enhance security.
  5. Reconcile Payments Automatically Automate reconciliation by syncing payment data back into the ERP system to match invoices and payments.
  6. Archive Documentation Ensure all invoices, approvals, and payment records are stored together in a searchable archive for audits and compliance.
  7. Monitor and Optimize Workflow Regularly review process metrics and adjust automation rules to improve accuracy and efficiency.

Example

Input:

Invoice received via email from Vendor ABC for $1,000 dated 2026-05-01 with PO #12345 and payment terms Net 30.

Output:

Invoice data extracted and validated; routed to budget owner for approval; upon approval, payment scheduled and reminder emails set; invoice and payment records archived in ERP.

Failure modes

Invoices may be missed if not sent to the centralized intake; AI extraction errors can occur with poor-quality scans or unusual invoice formats; integration failures with ERP can cause data sync issues; approval delays if routing rules are misconfigured.

Fallback instructions

Manually verify invoice receipt and data entry; follow up with approvers directly; process payments manually if automation fails; review and correct integration settings.

Edge cases

Handling paper invoices requiring manual scanning; invoices without PO numbers; partial payments or disputed invoices; multiple currencies and tax jurisdictions.
